Make it so people get subscribed to the appropriate mailing lists automatically #15
Right now, mentors have to sign up using melange, a google form for the psf, and also join mailing lists. Surely we can streamline this so at least the psf signup will automatically get you signed up to the mailing list?
Currently, mentor onboarding involves multiple disconnected steps: registering on Google Melange, filling out a PSF-specific Google Form, and manually joining mailing lists. This fragmented process creates unnecessary friction and increases the likelihood of drop-offs or incomplete onboarding.
Proposed Solution
We can streamline the workflow by integrating PSF signup with automatic mailing list subscription, reducing manual steps and improving the mentor experience.
Key Improvements
Single Source of Truth (Unified Signup)
Use the PSF mentor signup form as the primary entry point.
Collect essential data once (name, email, GitHub, areas of expertise).
Automated Mailing List Subscription
Upon form submission, automatically subscribe mentors to relevant mailing lists (e.g., via Mailman API).
Ensure compliance with opt-in policies by including explicit consent in the form.
Melange Sync / Guidance
Provide clear instructions or automated reminders to complete registration on Google Summer of Code (Melange).
Optionally, pre-fill or validate data consistency between systems.
Confirmation & Tracking
Send a confirmation email summarizing completed steps and pending actions.
Maintain a dashboard or sheet to track mentor onboarding status.
Benefits
Reduced friction: Fewer steps → higher mentor participation
Consistency: Centralized data reduces duplication and errors
Automation: Less manual work for organizers
Better communication: Immediate access to mailing lists ensures mentors stay informed
Optional Enhancements
OAuth-based signup (e.g., GitHub login)
Automated Slack/Discord invites
Periodic reminder emails for incomplete steps
Conclusion
By consolidating mentor registration and automating mailing list subscriptions, we can significantly improve the onboarding experience while reducing administrative overhead. This aligns well with the goals of Python Software Foundation to make participation in GSoC smoother and more accessible.
